How to take control of your time and scale your business in 3 simple steps

Step 1 – Time Management For Scaling Your Business

Winging-it is not a plan.

Whether it’s Benjamin Franklin or Winston Churchill these words always hold true: “Failing to plan is planning to fail”.  Mis-managing time is like having vicious wolves at the door. When ignored, could lead to serious consequences such as increased costs, lost time, reputational risks to name a few.

With a clear strategy in place, you can and will tame the hounds gnawing at you.

Choose a Time Management tool that works for you. There are so many techniques around from the Eisenhower Matrix, Pomodoro Technique to name but two! Find simple ways to manage your diary, like time-blocking and colour coding to keep you on track. Bryan Collins explains his version of the Pomodoro technique.

Who are the people that can help you, think about to whom you can delegate tasks, buy-in support, collaborate.

With the extra time in hand, you can focus on how and what your plan is to scale.

Once a clear strategy is in place, you’ll have

  • motivation and time to deliver on your promises to yourself
  • people around you inspired by your trust in them and your direction
  • clients who will be coming back for more (and trying to find out what your secret to success is)

Step 2 – Effective Communication Tools

What, I’m an expert talker, don’t need tools to tell me that surely?

“When you speak to everyone, you speak to no one” says Meredith Hill (or Seth Godin). Either way, without focused communication, you are sending your plans into the void, where the crickets live.

Turning cricket-song into paying clients needs effective communication. Clarity leads to a scaled and sustainable business. Here’s how: building relationships that are genuine, focused and placed exactly where needed at the right time. It’s not just about paying clients, communication involves every human on your team, your family and, friends.

Being clear, consistent and communicating the right message with the right tools creates a stronger path to success.

Think about your message being clear, aimed at the right audience and relevant to them at that time.

  • When could a meeting be an email?
  • When could an email be a call?
  • Where is the best place for your team to track progress?
  • What and who are involved?
  • Who needs another WhatsApp group when a meeting creates space to connect and build relationships?

Having clarity in communication means using the right tool for the task. In no time you’ll speaking to the right person, who understands your brief and then delivers on time, to plan and on budget – isn’t that easier than hearing a chorus of crickets. I think we can agree on that.

Step 3 – Reduce costs with project tracking

You’ve taken control of your time, have a plan to scale and you’re getting the right messages across, it’s now time to reduce costs and check how all your efforts are working out.

Two questions I get asked regularly are ‘what is a project manager?’ and ‘what is project tracking?’.

  1. Project Managers are like party-planners, except they can’t do all the jobs themselves. A project manager will plan, implement, deliver and evaluate what is needed to make the party a success.

A small business will use a project manager in several ways, at startup phase to plan and maximise flows or when established businesses have new services or products being launched, scaling and future planning.

  1. Project tracking are the tools used to make sure everything is clearly thought through, planned and budgeted for and happening in the right time scales. This includes things like Gantt Charts (not my fave!), Kanban Boards (my second fave!), One-Page-Project-Plans (my absolute fave!). Project tracking includes monitoring risks, key performance indicators, compliance among others. Project tracking tools help to visualise the plan, mark the phases, tasks, milestones and outcomes.

Trying to do everything on your own means you become a slave to your business – no one wants that. A project manager handles the headaches so you can get on with what you do best.
